CONSENT TO THE PROCESSING OF PERSONAL DATA – STUDENTS

The private institution University of Ptuj (personal data controller) collects and processes personal data of students for the purpose of implementing an educational program in the field of higher education in accordance with general regulations and regulations applicable to the field of activity.
The University College in Ptuj regulates this area in accordance with the applicable legislation in the field of Personal Data Protection.

The personal data that is collected directly by our institution are:

  • Graduate records

  • Student personal file

  • Records of enrolled and withdrawn students

  • Records of issued resolutions and decisions in the recognition process for the purpose of continuing education

  •  Records of registered and enrolled students in accordance with the ZViS

  • E-vis records; monitoring of the student from enrollment to graduation

  • Examination period record (registration and deregistration)

  • Record of exam minutes

  • Register of publicly valid certificates

VŠP processes students' personal data on the basis of statutory legal basis, namely:

  • Higher Education Act (ZVis)

In accordance with the Higher Education Act (ZVis), the records of students and graduates contain data on persons who have acquired student status in accordance with this Act, namely:

  • personal name,

  • a single citizen identification number,

  • gender,

  • date, place, municipality and country of birth,

  • citizenship,

  • permanent and temporary residence (street, house number, town, postal code, municipality, country),

  • information on previously acquired education relevant for enrolment in the study programme (KLASIUS, year, country),

  • the highest previous education achieved, if it is higher than the previous education relevant for enrolment in the higher education study programme referred to in the previous point (KLASIUS),

  • unique identifier and name of the university or independent higher education institution,

  • unique identifier and name of the university member,

  • unique identifier and name of the study program,

  • name of the course or module,

  • place of study,

  • study method,

  • date and academic year of first enrolment in the study programme,

  • year of study,

  • start date and end date of student status after academic years,

  • date of issue,

  • the date of enrollment in the year and the academic year in which the student is enrolled,

  • number of enrolled and achieved ECTS credits by year and academic year,

  • date of completion of studies,

  • information on whether the student has been granted an extension of student status,

  • information on whether the studies are financed from public sources by year and academic year,

  • information on the use of subsidized accommodation by year and academic year,

  • information about international exchange during studies:

    • name of the higher education institution where the exchange took place,

    • the location and country of the higher education institution or institution where the exchange took place,

    • start and end date of the exchange,

    • the number of ECTS points recognised at a higher education institution in the Republic of Slovenia,

    • type of international exchange, i.e. information about the international program or agreement under which the exchange is carried out.

  • studies in the Republic of Slovenia: name of the higher education institution, name of the study programme, information about the major or module, place of study in the Republic of Slovenia, method of study, date and academic year of enrolment, year of study, date of start and end of the exchange and number of ECTS credits enrolled and achieved,

  • studies at the higher education institution from which the student comes: name of the higher education institution, city and country of the higher education institution.

Other databases managed by the Private Institution University of Ptuj are:

  • attendance lists (management of attendance at individual events, seminars, round tables and bodies),

  • pictorial material,

  • facebook, website (image material),

  • accounting records with the authorized external contractor Finančni biro Nika doo (issuing invoices for services provided),

  • e-mail (notifications about education, seminars, workshops, training,

    webinars, free events, sending e-newsletters in the field of bionics, technical and other interesting content),

  • minutes.
